Accounts & Terms

To set up a business credit account with Van Millwork, please complete our credit application.  Once an account is approved, invoices will be issued and e-mailed as orders are delivered. You will also receive a consolidated monthly statements. Terms are 2% 10th day; net 30th day following date of month-end statements. A service charge of up to 1-1/2% per month will be applied to balances that remain unpaid after the 30th day following monthly statements. You can set up automatic bill pay by completing our Van ACH Form.

Ordering Process

Contact Van Millwork to arrange a meeting with one of our Territory Managers. The TM will then arrange to meet with you on the jobsite and answer any questions you may have. During the meeting, the TM will help define project needs and specifications, and do a thorough field takeoff. You will be furnished with a detailed job quotation and a credit application for setting up an account. Upon acceptance of the quotation, the order will be placed and confirmed, and shipped to meet your scheduling needs. Generally, orders containing stock material can be shipped in one week. Special order materials and custom products may require both longer quotation and shipping times, and also may require a deposit and signature. We will always work diligently to satisfy the timeliness of product deliveries to align with your project schedule.

Delivery Policy

Stock orders can be delivered typically in one week. Estimated delivery dates for special and custom products are provided with the quotation. Due to the volatile nature of construction schedules, our dispatch department will call or text to confirm all deliveries 48-72 hours in advance of shipment. At this time, we will ascertain any special requirements of the delivery – unusual site conditions or any obstructions – that would interfere with a front door delivery. If an order needs to be rescheduled at this time, our dispatcher will work with you to schedule a new delivery date. Your order will be delivered inside the house, and stacked in an orderly fashion. To protect the material from jobsite moisture issues, we do not recommend garage or basement deliveries. Furthermore, we strongly recommend that material not be placed in the house until plastering has been allowed to thoroughly dry, usually three to five days.

Jobsite Handling of Material

Excessive exposure to moisture is the leading cause of finish millwork callbacks. To avoid exposing the finish millwork to excessive moisture, the material should only be delivered to the job after the house is plastered, and excessive moisture has been removed from the house by running the heat, air conditioning, or dehumidifiers, and increasing fresh air circulation. Van Millwork recommends deliveries into the house – not the garage or basement – after plastering is complete and the house is dried (usually 3-5 days). Additionally, the proper storage of materials on the jobsite is critical to maintain their quality and integrity. We deliver all millwork and boards (with the exception of prehung doors) flat on the floor. We recommend that you advise subcontractors and painters not to prop boards up against walls for an extended period of time, as this can create warping and cupping issues. If you choose to authorize shipment of material to a location that will subject the wood to excessive moisture, Van Millwork will honor your request. We cannot, however, offer you the quality assurance guarantee on any material defects resulting from either jobsite moisture exposure or inappropriate storage.

Return Policy

The territory manager or the customer service department must authorize requests for products returned for credit within 45 days of original purchase. Credit will be issued for all stock items returned in saleable condition and appropriate lengths (no credit will be given for boards less than 3′ long). Certain non-stock material may be subject to a re-stocking fee. Special order and custom products are not returnable.

Product Liability

Van Millwork proudly stands behind all the products we sell. We will promptly replace material that does not meet accepted industry quality standards. While we are not responsible for any installation, finishing or other incremental costs as a result of materials replaced, please be assured that Van Millwork will work closely with you to ensure both timely and cost-effective solutions to any quality issues that may arise.
